Systems integration for Australian businesses

We connect your systems so you enter things once.

You pay for a CRM, an accounts package and a booking system. Then someone copies between them by hand. We map what needs to move, build the connections, and watch them, so a fault reaches us before it reaches your customer.

Start with a free audit. Give us your website and we map the tools you run and where the same details get typed twice, before we speak.

The call takes thirty minutes. You keep the map whether or not you hire us.

What it looks like at Cycle Station.

Cycle Station is a bike retailer with more than one store. Their POS, their online bookings and their Tyro terminals had to work as one. We set up and connected all three. We still manage them today, on a support retainer they can cancel.

For a harder join, read the Chargeroo case study. Stripe holds a deposit, the kiosk releases a power bank, and the refund fires when the bank comes back. More builds are on the portfolio.

What retyping costs you.

It never shows up on a timesheet. That is why it lasts for years.

12 to 15hrs a week

Lost to admin

That is the average for an Australian business owner. Carrying data from one system to the next is a large slice of it.

2 × 40min a day

Do the sum on your own team

Say two people each lose forty minutes a day to retyping. That is more than six hours a week, before anyone makes a typo.

$2,500to fix one join

The cheapest fix on our list

That is where a two-system sync starts. It removes work that happens every day, so it tends to pay for itself before anything else we build.

The admin figure and how to count your own are in our guide to counting your admin hours.

What we connect, in one list.

Nine of these we build often enough to price up front. Each one has its own page with what moves, what it costs and what it will not do.

CRM to accounts

  • A won deal raises the Xero invoice with the right line items and tax codes
  • Paid status comes back to the deal, so sales stop asking accounts
  • Built for HubSpot to Xero and Pipedrive to Xero, and for MYOB

Website to job system

  • Your enquiry form creates the job, matches the customer and texts them back inside a minute
  • A won deal becomes a job with the customer, site and quote lines attached
  • Built for ServiceM8 and simPRO

POS, stock and online store

  • Sales, fees, surcharges and refunds posted per store and matched to the payout in your bank feed
  • Stock kept in step between the shop floor and the online store
  • Built for Square to Xero and Shopify to Xero

Bookings and practice software

Payments

  • Stripe, Tyro and Square set up and wired to the system that needs to know you were paid

Monitoring

  • Health checks and alerts on each connection
  • A record of what moved, so you can check it yourself

The tools we join most often.

  • Xero
  • MYOB
  • HubSpot
  • Shopify
  • Square
  • Stripe
  • Zapier
  • Make
  • n8n

Running POS, Xero and a booking system? Read our guide to connecting POS, Xero and bookings first. Your pair not here? See all nine, and how we quote the rest.

Built so it survives a bad day.

A connection that only works on tidy data stops without a sound. Nobody sees it for a fortnight. So this is how each one gets built.

One source of truth per field

We name which system owns each field. The rest follow it. Duplicates get matched, not stacked, and your report reads the same whoever runs it.

The failure cases first

A duplicate. A timeout. A record missing a field. Retries and queues mean a short outage is not lost data. Alerts come to us as well as you.

The biggest hours first

You should not wait three months to see if this works. We rank each join by hours saved and ship in that order. Stop after any stage and keep what is built.

What we do, in the order we do it.

Most integration work is live in two to four weeks. You can count the hours it gives back on day one.

Week 1

Map what you run, and where it breaks

Each tool. Each place data gets entered twice. Each point where a person carries it from one system to the next. This takes about an afternoon, and it surprises people.

Every step above is work you can check. Ask any provider to show you the same list for what they are doing.

Who this is for, and who it is not.

Connecting your tools gives you hours back. It does not bring you new customers. Check which problem is yours.

You are in the right place if

  • You run two or more tools and a person carries data between them
  • Your CRM and your books disagree about who has paid
  • Stock gets counted by hand because the POS and the store do not sync
  • Bookings get copied into a calendar by someone on your team

You want a different page if

  • The phone is quiet. Joining your tools will not fix that. See SEO and web design
  • You want the follow-ups and reminders sent for you. That is business automation
  • No tool does the job at all. That is custom software
  • The second system should not exist. We will say so, and not charge you to join it

Not getting your website AI ready is going to be the same as forgetting to renew your Yellow Pages spot back in the 80s. One month after launching we can already see a big improvement in traffic and enquiries through search.

Questions about systems integration.

We work from Albury Wodonga with businesses across regional NSW and Victoria, and Australia-wide. See Albury, Wodonga or your industry.

What is systems integration?

It is joining the software you already run so data moves between it without a person. You enter a customer once. The CRM, the accounts, the job system and the calendar all get it. No retyping, and one version of each record.

How much does an integration cost?

From $2,500 for a two-system sync. Jobs with several platforms, high volume or records that have to be matched up run to $12,000+. Each page under integrations gives a range for its pair. You get a fixed price on your audit call.

Can you connect Xero to my CRM?

Yes. A won deal raises the Xero invoice with the right line items and tax codes, and the paid status comes back to the deal. See HubSpot to Xero and Pipedrive to Xero for what moves and what it costs. A HubSpot to Xero connection starts from $2,500.

Which tools can you connect?

Xero, MYOB, QuickBooks, HubSpot, Pipedrive, Salesforce, ServiceM8, simPRO, Cliniko, Square, Shopify, Stripe and Tyro, plus most booking and POS systems. If it has an API, we can almost always connect it. If it does not, we tell you that too.

Do I need a custom integration, or will Zapier do?

Often Zapier will do. Some joins need Make or n8n. Some need a proper API connector, because the volume is high or a lost record costs you money. We choose per problem. Our Zapier, Make and n8n comparison shows where each one stops.

How long does it take?

Most integration work is live in two to four weeks. Simple two-system syncs are often quicker. Agreeing what maps to what is the slow part. The build is the quick part.

What happens when an integration breaks?

Each connection we build has health checks and alerts, so we find out before you do. Retries and queues mean a short outage does not lose data. Monitoring is an optional retainer you can cancel, and the connection keeps working if you do.

My software is not on your list. Can you still connect it?

If it has an API, and most do, the build has the same shape. Tell us what you run on the audit call and we quote it the same way. Where there is no official API, we can often build a connector. Where we cannot, we say so.

Get your free integration audit.

We look at the tools you run and where the same details get typed twice, then go through it with you on a 30 minute call. You get a map of what should move between them, which join to build first, and a fixed price. The map is yours to keep, whether or not you use us.

What you get before you pay us anything

  1. Every tool you run, and what it holds. On one page.
  2. Each handoff where data gets retyped. With who does it and how often.
  3. What connects to what. And what will not, because the software has no way in.
  4. The order to build in. Ranked by hours saved.
  5. A scope and a fixed price. Build it yourself, hand it to someone else, or hand it back to us.
